We're a 5X winner of Best Places to Work and 2X winner of Utah's Best of State staffing agency!PAYROLL SPECIALIST JOB DESCRIPTION: The Senior Payroll & Benefits Specialist will assist in processing accurate and timely payroll for multistate entities. This position is responsible for maintaining payroll information by collecting, calculating and entering data activities for all business locations in the North American region using Paylocity Web Pay and Time and Attendance. This position will work closely with our Finance and Accounting teams in New York and Berlin to provide various reports on a quarterly and / or monthly basis, or as needed. This position will also have some day to day tasks related to benefits reporting and reconciliation of the Company's health and welfare plans, time off, and retirement benefits.PAYROLL SPECIALIST JOB REQUIREMENTS:

  • Maintains payroll information by collecting, calculating, and entering data.
  • Updates payroll records by reviewing employee changes submitted through the self-service portal or by approved job title and department transfers / changes.
  • Maintains payroll files to ensure all employee changes are documented and saved to the shared drive/payroll and shared drive employee eFile/payroll.
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave of absence, disability, and non-taxable wages.
  • Works with payroll service provider to update payroll liabilities and resolve tax issues.
  • Resolves and reports payroll discrepancies by collecting and analyzing information.
  • Provides payroll information by answering questions and requests.
  • Maintains payroll operations by following policies and procedures, reporting needed changes.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Reviews Web Time and Attendance cards for missing punches. Works with employee's supervisor or manager to edit or correct punches.
  • Audits timecards to ensure meal periods are being taken, time off used and paid holiday falls in line with company policies, and hours are accurate according to employee status. Addresses issues and obtains approval to edit from the employee's department supervisor / manager.
  • Process payroll on a bi-weekly and semi-monthly basis. Calculates payable hours, bonuses, taxes, and deductions.
  • Records employee gift cards for taxation purposes.
  • Under the direction of the Head of HR will oversee earnings and deduction codes.
  • Under the direction of the Head of HR will work with payroll system provider to update Local, State, and Federal tax rates.
  • Works with Head of HR to set up new business licenses in approved US States to comply with tax withholdings to ensure unemployment / employment, city and state taxes are being withheld and reported to each state.
  • Conducts audits of payroll pre-process registers to ensure all changes were updated and accuracy of pay rates, employer match, health contributions, taxes, and employee deductions are accurate.
  • Reviews final payroll register against pre-process payroll register. Notifies manager and Global Controller of any differences between the two registers.
  • Works with payroll service provider to resolve system and payroll processing related issues.
  • Audits time off balances. Reports errors to Head of HR for change approval.
  • Handles payroll related questions.
  • Prepares and furnishes payroll reports to internal department heads. Prepares GL, fringe, and labor distribution reports to Finance Department. Prepares time off balance reports to Director of Accounting.
  • Reconciles 401(k) deferral deductions against employee elections from Fidelity feedback file, payroll register and payroll data integration file. Prepares expense authorization for 401(k) company match and employee deferral contributions. Reports results to Head of HR for review, approval, and funding.
  • Manages offboarding activities relating to final pay for separated employees.
  • Any other duties as assigned.PAYROLL SPECIALIST WAGE: $16.00 - $21.00/hrPAYROLL SPECIALIST SHIFT:
