Job Summary The Brand Department Admin is a talented, detail-oriented and motivated individual. The Brand Department Admin will be an outstanding, attentive, and organized administrative assistant that will work with our leadership team by managing emails, team logistics, assisted in team building events and meetings, support team culture and scheduling. The ideal candidate will also have a general knowledge of branding and creative and will be able to assist in keeping track of special projects and to ensure they are getting the attention and support they need. This position will require attentiveness to detail in a fast-paced environment, a self starter who is motivated and can make things happen and who will be in close communication with the team, and support of the leader and team's needs. The position will support the VP of Brand, with occasional support to the Brand Leadership Team, along with the entire Brand department as needed. Job Description ESSENTIAL DUTIES AND RESPONSIBILITIES * Sort and manage emails to ensure key emails are flagged for response and follow up * Identify approvals needed and help ensure they are approved within the given time frame * Organize and schedule meetings and help with calendaring * Help to manage office equipment and technology, communicate with IT * Coordinate and schedule travel as needed * Manage agenda and gather information for the weekly department meeting * Attend department manager meetings and provide support and information * Assisting with recruitment needs and run point on onboarding of new team members including but not limited to: helping to coordinate interviews when needed, organize and maintain the on-boarding process for the department, help support directors with new hires * Support the other individual teams which include creative: video content and brand design, PR/Comms and Brand Strategy * Manage the department credit card and expenses * Help with expense reports and ensure reports are submitted on time and accurately EDUCATION/EXPERIENCE REQUIREMENTS * Associate degree preferred. Bachelor's degree a plus * 2+ years' experience in administrative office assistant, office manager or similar role. Previous experience with Brand or Creative functions preferred. * Advanced Microsoft Office skills (including Excel, Word & Outlook) KNOWLEDGE, SKILLS, AND ABILITIES REQUIREMENTS * Excellent oral and written communication skills * Experience with Outlook, Microsoft Office, communications software * Ability to handle confidential information * Ability to be a self-starter and self-motivated * Highly effective at seeing tasks to completion and anticipating needs and outcomes * Detail and process-oriented * People-oriented with a desire to be successful * High school diploma or GED * Team oriented * Self-motivated * Ability to adapt in fast pace PHYSICAL REQUIREMENTS Physical Activities may occasionally include: * Remaining in a stationary position, often standing or sitting for prolonged periods. * Adjusting or moving objects up to 15 pounds in all directions. Physical Activities may constantly include: * Communicating with others to exchange information. * Repeating motions that may include the wrists, hands and/or fingers. * Assessing the accuracy, neatness and thoroughness of the work assigned.
